Booth assignments are underway!  Over 500 will be included in the first-round of space assignments.  These assignments will be released on June 23 at the Exhibitor Planning Meeting in Rosemont, IL (details in article below).  A mailing will also be sent out to all exhibitors on this date.

Excellent News for RSNA Housing in 2009!

Thank you to the Chicago hotel community.  We are happy to announce that RSNA has received 100% commitment to maintain last year's guest room rates from all 78 hotels.

Exhibitor Housing

On May 13, we emailed as well as mailed a letter to all exhibitors detailing the housing process.  RSNA Exhibitor Housing is based on a formula.  Exhibitors may only request 3 rooms per one hundred square feet of purchased exhibit space (excluding headquarters space).  Companies requiring less than 25 rooms on peak night qualify for individual Exhibitor Housing and will be able to reserve their rooms online beginning June 3.  Companies with more than 900 sq. ft. of purchased exhibit space and require more than 25 rooms on peak night will need to download the Block Housing Form starting  May 27 and return the completed form by July 1.

BEWARE OF FALSE HOUSING CONTRACTORS
There are housing companies trying to solicit exhibiting companies with a promise of providing hotel rooms.
RSNA has contracted with Experient, Inc., to assist with the management of exhibitor housing. RSNA is NOT affiliated with any other housing providor.

Exhibitor Registration Opens June 3

Exhibitor registration will be available in the Technical Exhibition Center beginning June 3.  Each exhibiting company will receive five complimentary badges for each 100 square feet of exhibit space purchased. A $40 fee will be assessed for each badge produced over the complimentary allotment. No refunds will be issued for badges purchased but not used. The advance registration deadline is November 4. Booth badges ordered by this date will be shipped to the official representative prior to the meeting. It is the representative's responsibility to distribute badges prior to arrival at McCormick Place. If you need additional information contact reginfo@rsna.org.

Exhibitor Planning Meeting - June 23

Exhibiting companies are invited to our next Exhibitor Planning Meeting and Luncheon on Tuesday, June 23 from 10:00 am to 1:00 pm in Rosemont, IL (near the Chicago O'Hare International Airport) at Rosewood Restaurant & Banquet.  The luncheon will be sponsored by the Chicago Convention and Tourism Bureau.
Items to be covered include:

• Preview of Exhibitor Service Kit
• Announce new RSNA exhibitor programs
• Release 2009 space assignments
• Luncheon

Function Space and Non-RSNA Satellite Symposia Guidelines/Forms

The RSNA Exhibitor Function Space and Non-RSNA Satellite Symposium Guidelines and Forms will be available in the Technical Exhibition Center beginning on June 1. 

Exhibitor Function Space Requests

Companies may request function space at any of the RSNA contracted hotels.  Companies may also request function space in the West Building of McCormick Place for functions only where radiologists/physicians will be in attendance. All other space in the convention center is reserved solely for RSNA activities.  Please note that any request will require the approval of RSNA prior to releasing function space. Deadline for Function Space is November 13.

Non-RSNA Satellite Symposia Opportunity for Exhibitors

Interested in hosting an educational symposia durning RSNA 2009?  The deadline for conducting a Non-RSNA Satellite Symposium request is October 9. Only an exhibiting company can participate. Other associations and medical organizations are not eligible for this program. The symposium cannot offer CME credit to those in attendance.

Bistro RSNA Improves for 2009 with Expanded Menu Options

RSNA would like your help in planning the Bistro RSNA menu for 2009.  Six new menu options are being offered, each of which includes soup and salad choices, beverages, and dessert.

Bistro RSNA provides a comfortable setting for exhibitors and attendees to eat, meet, and network during the RSNA Annual Meeting.
